Event Submission & Approval Policy
Last updated: October 2026
1. Purpose
To ensure all events listed on What's Revving This Weekend are accurate, safe, community‑appropriate, and aligned with WRTW's mission to support Australia and New Zealand's motoring culture.
This policy outlines how event submissions are reviewed, approved, and—when necessary—modified by WRTW administrators.
📝 2. Event Submission Requirements
Event organisers must ensure all submitted events include:
- Accurate event name, date, time, and location
- Clear description of the event's purpose
- Contact details or links for attendees
- Any relevant entry fees or registration requirements
- Appropriate imagery or logos (if included)
- Relevant hashtags to help the community discover your event
Events must be genuine, publicly accessible, and relevant to the motoring community. Recurring events (such as monthly cars & coffee meets) can be submitted as a series, and organisers will be reminded when a series is due to be set up again.
🔍 3. Review & Approval Process
All submitted events undergo a manual review by WRTW administrators. During this process, admins check for:
- Accuracy and completeness of event details
- Relevance to motoring culture
- Compliance with WRTW's platform guidelines
- Safety, clarity, and suitability for a general audience
Events are approved only when they meet WRTW's standards.
✏️ 4. Admin Rights to Edit Event Details
To maintain consistency, clarity, and accuracy across the platform:
WRTW administrators reserve the right to edit, adjust, or refine event details prior to approval.
This may include:
- Correcting spelling, formatting, or grammar
- Adjusting layout for readability
- Clarifying vague descriptions
- Standardising titles, categories, or tags
- Replacing low‑quality or inappropriate images
- Fixing incorrect dates, times, or locations (when verifiable)
Edits are made solely to improve clarity and accuracy—never to change the organiser's intent.
🚫 5. Grounds for Rejection
An event may be declined if it:
- Is incomplete or contains unverifiable information
- Is irrelevant to motoring or community events
- Contains inappropriate, offensive, or misleading content
- Appears to be spam, promotional-only, or deceptive
- Conflicts with WRTW's Inappropriate Conduct Policy
- Promotes illegal, unsafe, or high‑risk activities
Organisers may resubmit after correcting issues.
📩 6. Communication With Organisers
If an event requires clarification before approval, WRTW may contact the organiser for additional details.
Events may be:
- Approved
- Approved with admin edits
- Returned for revision
- Declined (with reason provided unless the issue relates to safety, legal risk, or platform integrity)
🏁 7. Final Authority
WRTW administrators hold full discretion over:
- Approving or rejecting events
- Editing event details
- Removing events that later breach platform guidelines
All decisions are made to protect the community and maintain the quality of the WRTW platform.
🏆 8. Organiser Rewards Program
WRTW Organisers are automatically enrolled in the WRTW Organiser Rewards program when they submit events. No separate sign-up is required — points are credited automatically the moment an admin approves an event.
- 10 points per approved event
- 12 points for any event that is part of a recurring series (10 base + 2 recurring bonus)
- Points are tracked against your account and visible from My Garage
- Admin users are excluded from the rewards program
As points accumulate, organisers progress through rank tiers:
- Bronze — 200+ points
- Silver — 500+ points (1 free featured event, redeem within 6 months)
- Gold — 1000+ points (2 free featured events, redeem within 9 months)
- Platinum — 2000+ points (3 free featured events, redeem within 12 months)
Free featured event credits are issued automatically upon rank upgrade and can be redeemed to spotlight an event at no cost. WRTW reserves the right to adjust point values, rank thresholds, and reward entitlements at any time to maintain the fairness and integrity of the program. Full details are available on the Organiser Rewards page.
📊 9. Organiser Dashboard
Every WRTW Organiser has access to a personal Organiser Dashboard, available from My Garage. Once an event is approved, the dashboard tracks how the community engages with it, including:
- Page views — how many people opened the event page
- Website clicks — how many followed the link to your site
- Watchlist adds — how many saved the event
- Shares — how many shared it with friends
- Calendar adds — how many added it to their calendar
These insights help you understand what resonates with the community, plan future events, and make the most of your organiser rewards. Only events you have submitted and that have been approved appear in your dashboard.
🆕 10. Finding Recently Added Events
Events approved within the last 3 days are marked with a New rev-counter badge so the community can spot the latest additions at a glance. You'll see this badge next to event titles on the events search page and the calendar.
To find only the newest events:
- Open the Events search page
- Switch on the New events (last 3 days) filter
- The list updates to show only events submitted in the last 3 days
The New badge is visible to everyone, but the filter itself is available to registered users (WRTW Members, Organisers, and Partners). Visitors can see the badge on event cards and the calendar but need a free account to use the filter.
The badge and filter refresh automatically — after 3 days, an event is no longer marked as new and returns to the standard listing.
