Privacy Policy
Last updated: October 2026
This Privacy Policy explains how the What's Revving This Weekend mobile application ("the App", "we", "us", or "our") collects, uses, and protects your information. We are committed to safeguarding your privacy and ensuring your personal information is handled responsibly.
1. Information We Collect
We collect and store the following types of information: • Account information — your name, email address, and role (member, organiser, partner, or admin). • Profile preferences — your home location, travel distance, vehicle interests, preferred event types, states, cities, venue types, weather preferences, and notification settings. • Garage information — vehicles you add (nickname, make, model, year, colour, photos, and generated wallpapers). • Engagement data — events you save, attend, submit, share, comment on, and react to (emoji reactions such as Like, Love, Looking Forward, and Recommend), plus milestones and log book entries. • Newsletter subscriptions — your email address and subscription status. • Push notification subscriptions — your device's push endpoint and encryption keys, where you enable push. • Competition entries — your WRTW @handle, social media post URL, submitted vehicle photograph, recorded reaction totals, and eligibility and verification decisions, where you enter a WRTW competition (see Section 12). • Payment information — processed securely through Stripe; we do not store your full card details (see Section 8). • Usage analytics — aggregated, anonymised data about how the app is used (see Section 7). You can browse events without an account. Creating an account unlocks additional features such as event submission, saved events, personalised notifications, and MY WRTW.
2. How We Use Your Information
Your information is used to: • Create and maintain your account • Personalise event recommendations and notifications based on your location and interests • Send you email newsletters, push notifications, and in-app notifications where you have opted in • Process MY WRTW membership subscriptions and WRMCC community benefit claims • Display your organiser profile, events, and garage content • Track engagement milestones and organiser rewards • Maintain platform security and prevent abuse • Improve and develop the app's features We do not sell your personal information to third parties.
3. Location Information
If you choose to set a home location, we store the address or suburb you provide and derive approximate map coordinates to show nearby events and send location-based notifications. Location is only used when you have enabled the relevant notification preferences, and you can clear or update your home location at any time from your account settings.
4. Notifications & Communications
You can choose how we contact you — via push notification, email, or in-app notification — and which events trigger a notification. You can adjust these preferences or opt out entirely at any time from the Email Preferences page. Newsletter subscribers can unsubscribe using the secure link in every email. Push notifications can also be disabled in your device settings.
5. MY WRTW Membership & WRMCC Benefit
MY WRTW is an optional paid membership that unlocks premium features. Subscription payments are processed by Stripe; we receive your subscription status and plan details but never your full card number. WRMCC community benefit eligibility is verified by an administrator based on information you provide (such as a social media username). See the MY WRTW Membership Terms for full details.
6. KidZone
KidZone is a family-friendly section of the app that does not require an account. Activity in KidZone is tracked using anonymous analytics only — no personal information or account data is collected, and analytics cannot be linked to an individual child. KidZone analytics are visible to administrators for the sole purpose of understanding which activities are popular.
7. Analytics
We collect anonymised, aggregated analytics about app usage — such as event page views, website clicks, emoji reactions, and overall site visits — to understand how the community uses the platform and to improve it. These analytics are not linked to your identity. Reaction counts are aggregated and displayed publicly on event cards, the calendar, and in the weekly magazine. Where event organisers view their own dashboard, the data shown relates only to events they have submitted.
8. Third-Party Services
We use trusted third-party services to operate the app: • Stripe — processes membership payments securely. Card data is handled by Stripe and is not stored by us. • Google — for spreadsheet and presentation integrations behind admin features. • Mapping and geocoding services — to display event locations. • Weather services — to show forecasts for outdoor events. • Web push services (Google FCM, Mozilla, Apple) — to deliver push notifications you have opted in to. Each service operates under its own privacy policy. We only share the minimum information necessary for them to function.
9. Data Security
We take reasonable measures to protect your information from unauthorised access, loss, misuse, or alteration. Access to personal data is restricted to authorised administrators. Push notification endpoints are validated against an approved allowlist, and newsletter unsubscribe links use unguessable tokens. While no system is completely secure, we are committed to maintaining industry-standard safeguards.
10. Data Retention & Your Rights
You may request: • Access to the personal information we hold about you • Correction of inaccurate information • Deletion of your account and associated data To make a request, contact us at info@whatsrevvingthisweekend.com. We retain personal information only as long as necessary to provide the service and comply with legal obligations.
11. Disclosure of Personal Information
We do not sell your personal information. We may disclose information to third-party service providers as described in Section 8, or where required by law. Organiser profile information (such as business name, logo, and bio) is displayed publicly on events you submit, as part of the service.
12. Competition Entries & Winner Publications
If you enter a WRTW competition, we collect and store your WRTW @handle, social media post URL, submitted vehicle photograph, recorded reaction totals, eligibility and verification decisions, and your acceptance of the applicable Competition Terms version. Winning entries may be published on the public Winners League and featured in the winner congratulations splash and cinematic video, displaying your WRTW @handle and submitted vehicle photograph. Your email address, internal user ID, and other private account information are not displayed publicly. Competition records, including reaction totals and verification decisions, are retained for auditing purposes and are not overwritten. Entrants may request withdrawal of their publication as set out in the WRTW Competition Terms & Conditions. Full details are set out in those Competition Terms.
13. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted within the App, and the "Effective Date" will be updated accordingly.
